The problem this solves
Private hire is a revenue line of its own for bars and restaurants — back-room buyouts, corporate drinks, birthday packages — and the enquiries arrive on every channel at once: phone, WhatsApp, Instagram DM, web form. Quoting means checking the diary, applying minimum-spend rules, picking a package and writing it up, and in a busy venue that work happens between services. Replies take hours or days.
Speed decides the sale. Enquirers rarely ask one venue: planners send 10 or more RFPs at once, and venue-industry sources claim the first venue to respond wins 35-50% of the events it quotes (vendor and venue-blog claims — treat as directional). A 2026 venue benchmark puts the median first reply at 11 hours, with the best venues under 8 minutes (Everybooking — trade benchmark). Widely cited lead-response research says replying within 5 minutes makes an enquiry roughly 21 times more likely to qualify than waiting 30 minutes.
On confirmation the venue still owes a function sheet: timings, headcount, package, dietary notes, last call. Errors here surface on the night, in front of the client.
What it costs to ignore
No credible Singapore-specific quantified estimate is available, but the arithmetic is easy to run for your own venue: a bar with a hireable back room doing two functions a week at SGD 1,500-4,000 minimum spend runs SGD 150k-400k a year through this pipeline. If first-responder dynamics are even half as strong as vendors claim, an 11-hour median reply hands a material share of that to faster venues.
What good looks like
- Response time — from hours to minutes: instant acknowledgement plus a same-hour draft quote a person approves. One vendor claims up to 25% higher conversion for fast responders (vendor claim — best-case).
- Coverage — every enquiry logged and answered, including the late-night Instagram DM.
- Quote consistency — minimum-spend and package rules applied the same way every time, not by whoever picks up.
- Function sheet accuracy — one record from first enquiry to event day, instead of retyping between email threads and paper.
- Worth knowing — vendor time-saving figures (one claims 62 hours a month saved) are marketing numbers. Plan on less.
How it works
Intake captures the details, fixed rules do the checking and pricing, the AI handles the conversation and drafting, and a person approves anything that matters.
- Mechanism: an intake agent on phone, WhatsApp and web captures date, headcount, budget and format; a capacity check runs against your diary; a quoting rule set produces a costed proposal; on confirmation the same record generates the function sheet.
- Data it draws on: your booking diary, package and pricing rules, room capacities, drinks packages, and your licence conditions (trading hours, last call).
- How it decides: hard constraints — capacity, existing bookings, licence hours — are checked by fixed rules, never left to the AI. Standard requests become a draft quote for one-click approval; buyouts, custom pricing and anything past licensed hours go to the owner. Nothing sends without a person approving it.
Vendor landscape
Singapore-native gap. No Singapore-native venue-ops or quoting tool was identified. Venuerific is Singapore-founded and Southeast Asia's largest venue marketplace, but it is a listings and enquiry channel, not an ops tool that quotes, enforces minimum spend or produces function sheets. The ops layer is served by US and Australian imports — and note the gap is Singapore-specific, not global: this is a mature category and the incumbents already ship AI quoting features.

None of these tools is WhatsApp-native, which matters in Singapore where most private-hire enquiries arrive by WhatsApp or phone rather than email.
Buy or build?
If your enquiries mostly arrive by email or web form, buy — Perfect Venue at about SGD 76/month is the most affordable credible option and pays for itself on response time alone. Consider a custom build only if your enquiry flow is WhatsApp-and-phone-first, or if your quoting rules (wet-led packages, minimum spend versus buyout, licence-hour limits) don't fit a generic template. Either way, keep a person approving every quote before it sends.
Singapore-specific considerations
- Liquor licensing: private events past your licensed trading hours need an extension or variation under the Liquor Control (Supply and Consumption) Act, and promotion rules constrain how "free flow" packages are worded. Your quoting rules should encode licence conditions, and the function sheet should state last call.
- PDPA: enquiry contact details are personal data; capture consent at enquiry time if you plan follow-up marketing.
- Channels: WhatsApp dominates Singapore enquiry traffic; check what a tool actually supports before buying.
- Grants: none of these vendors was found on the PSG pre-approved list — check IMDA's current list before assuming support. AI Singapore 100E can co-fund a custom build.
- Language: English carries corporate enquiries; Mandarin is useful for private celebrations.
