The problem this solves
A venue's enquiries do not arrive through one door. A guest messages the Instagram page, another emails the address on the website, another fills in a web form, and increasingly another sends a WhatsApp message to whatever number they found. Each of those channels usually has its own inbox, checked by whoever remembers to check it, on whatever schedule the floor allows. A missed enquiry does not announce itself. It just sits there, and the guest either goes quiet or books somewhere else.
The failure mode is specifically silent. A venue rarely finds out about a missed enquiry the week it happened; it surfaces weeks later, often when someone stumbles on a second Instagram page or an old email thread and realises a guest tried to get in touch and nobody answered. There is no missed-enquiry report, because there is no single place the enquiries live.
What it costs to ignore
No published Singapore figure exists for missed-enquiry rates. The arithmetic is straightforward for your own venue: every enquiry that goes unanswered for more than a few hours is a guest who has already started looking at the next option, and a venue running four or five separate inboxes across channels is, in effect, betting that someone checks all of them promptly, every day, without fail.
What good looks like
- One queue, every channel: Instagram, email and web enquiries land in a single inbox today; WhatsApp and phone are next. Nothing requires checking four separate apps to know what came in overnight.
- Catches the no-reply trap: booking platforms and confirmation systems often send from a no-reply address, and a guest who replies to ask a question sends that reply straight into a mailbox nobody reads. The inbox catches those replies and answers them rather than letting them die silently, a gap raised and closed in July 2026.
- Draft and approve, never auto-send: the system drafts a reply for every enquiry; a person reviews and sends it. Nothing goes to a guest without a human looking at it first.
- Worth knowing: this is the plumbing underneath several other use cases in this catalogue. UC02's booking chat and UC22's event quoting both handle a channel once a guest is already mid-conversation; this is the wider net that makes sure an enquiry gets to one of those conversations in the first place, rather than being missed before it starts.
How it works
Every channel writes into one queue; a person reads and sends from that queue.
- Mechanism: each channel (Instagram, email, web form today; WhatsApp and phone next) feeds a shared inbox. Incoming messages, including replies to no-reply confirmation addresses, are captured, drafted a reply by the AI, and queued for a person to review and send.
- Data it draws on: the raw message content per channel, and, where available, the guest's existing booking or enquiry history so a reply can reference it rather than starting cold.
- How it decides: the system drafts; it does not decide to send. Every reply passes a human review step before it reaches a guest, the same posture this catalogue applies everywhere a guest-facing message is generated.
Vendor landscape
Singapore-native gap. Generic omnichannel inbox tools exist globally (for customer support, social media management), but none found are built around a restaurant's specific channel mix and the no-reply-confirmation capture problem. Off-the-shelf social inbox tools handle Instagram and web chat well; none of them are wired to catch a booking platform's no-reply confirmation replies, which is a hospitality-specific gap this use case closes.
Buy or build?
Built, not bought. A generic social inbox tool gets you Instagram and email consolidation, but the part that actually saves a missed cover, catching and answering a no-reply confirmation reply, sits outside what any of those tools are designed for. This is a case where the plumbing is bespoke because the failure mode it fixes is specific to how restaurant booking and communication tools are wired today.
Singapore-specific considerations
- PDPA: consolidating messages across channels means guest contact details and enquiry content sit in one place; treat that store with the same access and retention discipline as any other guest data, and keep the draft-and-approve step as the safeguard against an AI-generated reply going out incorrectly.
- Channels: WhatsApp is the default guest-contact channel in Singapore, which is why it is next on the roadmap rather than optional.
- Grants: untested for this specific pattern; a bespoke inbox build sits outside the pre-scoped PSG solution model.
